SUMMARY OF ASSIGNMENT
Under the direction of the appropriate Administrator or Departmental Director, provide clerical support utilizing standard office practices and general work instruction. Assist the secretary in all phases of office operations.
ESSENTIAL FUNCTIONS
Perform general clerical duties such as:
  • Screen and respond to telephone calls and inquiries; direct incoming calls to appropriate staff.
  • Greet and assist walk-in customers.
  • Compose, type, proof, and edit general correspondence.
  • Input data entry.
  • File documents.
  • Fax documents.
  • Photocopy documents.
  • Sort, distribute, and/or open mail and packages.
  • Maintain records/files.
  • Schedule meetings, appointments, and training sessions.
  • Process District forms.
  • Assist with the preparation, maintenance, and distribution of reports, documents, bulletins, records, and schedules.
  • Assist with purchasing, maintenance, and distribution of supplies and equipment.
  • Collect money/fees.
  • Assist with annual inventory.
  • May train and coordinate student helpers.
  • May be required to provide first aid to students in the absence of the school nurse or health assistant.
  • May be required to monitor students on the playground.
  • Perform other duties as required.

MINIMUM QUALIFICATIONS
Education and Experience
  • High school diploma or equivalent (GED).
  • Experience in a customer service or educational setting.
Required Knowledge, Skills, and Abilities
  • Ability to proficiently keyboard, utilize word processing, spreadsheet, and scheduling software; navigate the internet; and operate email applications.
  • Ability to operate general office equipment such as photocopier, fax, personal computer, telephone, 10-key, etc.
  • Basic knowledge of general office procedures and protocols.
  • Basic knowledge of business math (addition, subtraction, division, percentages).
  • Basic knowledge of appropriate spelling, punctuation, grammar, and sentence structure of the English language.
  • Ability to sort/file alphabetically and numerically.
  • Ability to work cooperatively and effectively with others.
  • Ability to effectively organize and prioritize tasks with conflicting deadlines.
  • Ability to take initiative and work independently.
  • Ability to maintain confidential and sensitive information.
  • Ability to communicate effectively and professionally with students, staff, parents, and volunteers within a diverse environment.
  • Ability to exercise sound decision making skills.
  • Ability to maintain regular and punctual attendance.
Certification and Licenses
  • Successful fingerprint and background check.
  • CPR and first aid certification or ability to obtain within six (6) months of hire.
DESIRABLE QUALIFCATIONS
  • Experience in an office setting

WORKING CONDITIONS
Work is performed in a regular office/school environment. May be required to go outside to reach other buildings and/or monitor students on playground. Ability to use fingers, hands, and arms; speak and hear clearly; sit or stand for prolonged periods of time; lift 35 pounds; and bend, twist, walk, press with arms/hands, and reach requiring ordinary physical effort are all required. Heavy emphasis on keyboarding, data entry, and filing. Exposure to inclement weather, occasional loud noise, normal levels of office dust, VDT screens, and office machines and their required chemicals are part of the job.

Employment with Clover Park School District is conditional pending completion of a Washington State Patrol and Federal Bureau of Investigation fingerprint background check as required by RCW28A.400.303. (NOTE: All associated background check fees are the employee's responsibility.) The fingerprint scan must be completed prior to the first day of employment.
