The School of Nursing has an outstanding opportunity for a Part-Time Center Manager for the de Tornyay Center for Healthy Aging. This position will independently manage operations of the de Tornyay Center for Healthy Aging, which promotes healthy aging through research, education, and community relationships. Duties include strategizing with the director to develop an annual plan and budget for a self-sustaining center and managing multiple complex budgets and sub-budgets for grants, scholarships, endowments, and gifts. Reporting to the Center Director, the incumbent will work closely with their SoN colleagues to carry out the responsibilities of this position, including but not limited to:

DUTIES AND RESPONSIBILITIES

OPERATIONS (30%)

  1. With delegated authority, authorize and monitor expenses and assume general administrative management of the center.
  2. Strategize to develop an annual plan for a self-sustaining center.
  3. Develop an annual calendar of center and aging-related meetings and events.
  4. Based on the annual plan, draft annual budget, analyze fiscal data, forecast projections, and prioritize expenditures, activities, and work schedules.
  5. Draft quarterly progress and impact reports for the Associate Dean of Research.
  6. Plan and participate in strategic planning sessions with the director and, as appropriate, other faculty.
  7. Hire, supervise, and evaluate temporary and part-time staff and student assistants.

BUDGET (30%)

  1. Manage complex budgets including grant projects, endowments, and gifts.
  2. Create a system to plan, monitor, and centrally coordinate separate but interrelated center activities, cost share documentation, student scholarships, and receipt of donations.
  3. Coordinate interdisciplinary and inter-institutional funds management among multiple UW Center and related joint activities.
  4. Manage multiple small grants awarded by the center to UW faculty and students.
  5. Establish and administer sub-budgets, each with human subjects, university, and federal granting agency compliance and tracking requirements.
  6. Monitor salaries and make adjustments in compliance with union requirements and graduate student/other salary schedules.

SCHOLARSHIP MANAGEMENT (25%)

  1. Manage the annual process for high-quality graduate and undergraduate Healthy Aging Research scholarships.
  2. Draft and update scholarship applications as needed and publicly advertise application information.
  3. Assist in recruitment and counseling of students at orientations, during classes, and at public events.
  4. Convene scholarship review group and coordinate evaluation and ranking of applicants.
  5. Communicate with applicants and awardees and identify faculty mentors and curriculum.
  6. In coordination with Academic Services and UW Student Fiscal Services, disburse funds to students and set up sub-budgets.
  7. Administer Predoctoral Scholarships in Gerontological Nursing.
  8. Draft and coordinate scholarship reports including post-graduate follow-up.
  9. Maintain Healthy Aging scholars database.
  10. Administer student conference travel scholarships.
  11. Collaborate with SON HR on gerontology-related postdoctoral fellowship recruitments.

OUTREACH AND OTHER DUTIES AS ASSIGNED (15%)

  1. Work closely with the center Public Information Specialist to facilitate center’s outreach efforts and public communications.
  2. Maintain ongoing communication with UW administration, Advancement staff, donors, granting agencies, and the public.
  3. Review promotional and educational materials.
  4. Advise students, staff, and the general public regarding Center and/or healthy aging events, programs, and scholarships.
  5. Plan executive committee and advisory board meetings, community affiliate meetings, public seminars, and special events.
  6. Collaborate with donors and off-campus organizations and community partners.
  7. Assist with the planning of center events including handling payments, facilities, speakers, and promotional materials.

MINIMUM REQUIREMENTS

  1. Bachelor's degree in Business Administration, Public Health, Health Administration, or related field; AND at least 3 years of related experience.

Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.

DESIRED QUALIFICATIONS

  1. Experience with UW grant and contract administration.
  2. Experience preparing manuscripts.
  3. Experience with donor relations and cultivation.
  4. Experience with Workday, Access, PowerPoint, EndNote, and/or the REDCap survey tool.

  2. Knowledge of sound financial principles and accounting practices.

CONDITIONS OF EMPLOYMENT

  1. This position requires a fast-paced and flexible schedule, independent follow-through, and problem-solving ability.
  2. Onsite in-person employment is required for this position due to customer and donor interaction.
