Job Overview:
The Terminal Administrator at the New Bedford Marine Commerce Terminal will primarily assist with generating, issuing, and managing, contracts, invoices, and RFP's in support of operations at the New Bedford Marine Commerce Terminal. The New Bedford Marine Commerce Terminal is a purpose-built heavy-lift facility designed for the construction, assembly, and deployment of offshore wind projects. The Terminal also supports other marine cargos including bulk, break-bulk, containers and large project cargo.
The Terminal Administrator will work under the supervision of the Terminal Director and Terminal Manager at the New Bedford Marine Commerce Terminal, located at 4 Wright Street, New Bedford, MA. The Terminal Administrator may also be asked to provide support for workflow in MassCEC's offshore wind program areas as needed.
The ideal candidate for this position is a team player with strong analytical skills, curiosity, and an exceptional work ethic. The person working in this role will be able to manage timelines, accomplish a variety of tasks, and will have excellent Microsoft Office skills, particularly using Excel.
The candidate should have a strong understanding of appropriate policies and internal controls and be able identify areas for improvement where needed and ensure overall compliance with internal and external policies and procedures.
Job Duties:
The successful Terminal Administrator can independently manage several tasks simultaneously, and reprioritize their work based on changing operational or organizational needs. An ability to proactively identify and resolve problems, and improve processes, while working collaboratively with internal and external stakeholders is required. Specific duties include:
  • Prepare invoices and monitor invoice payments for the New Bedford Marine Commerce Terminal.
  • Communicate regularly with customers and contractors to ensure timely issuance and payment of all invoices.
  • Draft contracts, support the contract approval process, and amend contracts as required.
  • Provide administrative and procedural support for business development and customer outreach.
  • Work to develop and maintain relationships between MassCEC and offshore wind, marine cargo, and maritime industry contacts.
  • Other tasks as directed by the Terminal Director or Terminal Manager may include:
    1. Management of NBMCT Team planning software and scheduling
    2. Development of marketing materials in coordination with MassCEC Marketing Department
    3. Participation in operational meetings to record meeting minutes and action items
  • Must be willing to work on a flexible schedule that is responsive to changes in Terminal operations.
  • Support the budgeting and reforecast process on a quarterly and annual basis.
  • Assist with the preparation of audit related materials and supporting documents.
  • Perform administrative duties such as copying, filing, scheduling and document distribution when required.
Position Qualifications:
Education:
  • Bachelor's degree in finance, accounting, project management, or marine/maritime field preferred.
  • Other educational and professional experience will be considered.
Experience:
  • 1-5 years of relevant experience;
  • Familiarity with contracts, accounting systems and data entry;
  • Experience using Microsoft Excel, Word, and Outlook. Experience with Fluxx is a plus.
  • Knowledge of and an interest in maritime commerce, trade, ports, the New Bedford Marine Commerce Terminal, and/or the offshore wind industry.
Knowledge, Skills, and Abilities:
  • Excellent organizational skills and attention to detail;
  • Demonstrated ability to work independently and manage multiple priorities effectively;
  • Excellent verbal and written communication skills;
  • Ability to analyze financial data;
  • Strong computer skills, including Excel and accounting systems;
  • Knowledge of finance, accounting, and budgeting principles.
  • Demonstrated ability to get up-to-speed quickly and work independently.
  • Team-first attitude and a willingness to be flexible in a dynamic work environment.
  • Desire to work in a dynamic and mission-driven environment; and
  • Experience working in state and local government or non-profit / public sector entities is preferred.
Requirements:
  • The Terminal is subject to the port security regulations set forth by the Transportation Security Administration and United States Coast Guard. Employment at the Terminal is contingent upon obtaining state specific licenses and a Transportation Worker Identification Credential. More information on this requirement is available at
