Job Purpose:
The Office Manager will be responsible for overseeing the daily operations of the office, ensuring a productive and organized environment. This role will manage administrative duties, maintain office supplies, and coordinate staff activities to support business functions. The Office Manager will also handle basic accounting tasks, including processing invoices, assisting with payroll, and financial reporting.
Location: Honolulu, HI. No remote work.
Duties and Responsibilities:
The job duties and responsibilities include, but are not limited to the following:
- Organize meetings, appointments, and company events as needed
- Serve as a point of contact for vendors, service providers, and office staff
- Respond to phone calls, emails, and general inquiries in a timely and professional manner
- Support executives and managers with scheduling and clerical tasks
- Oversee daily office operations, ensuring efficiency and productivity
- Manage office supplies and inventory, placing orders as needed to maintain adequate stock
- Handle incoming and outgoing mail and shipments, coordinating distribution and logistics
- Coordinate maintenance and repairs for office equipment and facilities as needed
- Ensure a welcoming and professional environment for staff and visitors
- Responsible for the general accounting function including accounts payable and accounts receivable
- Generate detailed financial reports and statements, ensuring accuracy and clarity for financial manager to review and decision-making
- Prepare, input, and maintain all accounts payable data including setting up vendors, trackingexpenses, and processing expenses in a timely manner
- Issue payments to vendors in accordance with approved schedules, ensuring accuracy and timely processing of all transactions
- Address vendor inquiries by researching accounts, providing clear and accurate responses, and resolving any payment discrepancies or concerns
- Ensure the confidentiality and security of company records and sensitive information while managing, storing, and handling documents in compliance with company policies and legal standards
- Perform additional tasks as needed
- Bachelor's degree in Business Administration, Accounting, Finance, or a related field preferred
- Minimum of 3 years experience in an office management role, including overseeing daily operations and administrative functions.
- Experience with government contracting processes, including familiarity with regulations, compliance, and administrative requirement preferred
- Financial accounting experience with QuickBooks and job costing a must
- Proficiency with Microsoft Office, particularly Word and Excel, for managing reports and financial data
- Knowledge of generally accepted accounting principles (GAAP) and relevant financial regulations
- Ability to work independently and collaborate effectively as part of a team in a fast-paced environment
- Strong communication skills, both verbal and written, to convey information clearly and professionally
- Efficient time management skills, with the ability to prioritize tasks, handle multiple projects, and pay attention to detail
