Job Description:

The Litigation Docketing Supervisor is responsible for the day-to-day supervision of the firm's litigation docketing team across all offices. This position ensures consistent implementation of systems and processes resulting in accurate calendaring of relevant events related to the management of our client matters. This position reports to the Paralegal Manager and will directly supervise the Managing Clerks. A hybrid schedule is available for this position.

Supervisory Responsibilities

  • Supervise team members to ensure efficient and accurate docketing support to firm-wide attorneys. Assign jurisdictional responsibilities and monitor workloads.
  • Conduct ongoing performance management activities for the docketing team members, including professional development, the evaluation process, and handling of performance issues.
  • Recruit, hire, and onboard new clerks as needed. Develop and coordinate training programs regarding essential job responsibilities, tasks, and the use of the firm's systems.
  • Maintain docketing workflow procedures manual consistent with the identified best practices; communicate updates as appropriate.
  • Develop training programs for new firm personnel including new attorneys and support staff who interface and contribute to litigation docketing processes.
  • Coordinate with IT personnel regarding the operation of docketing software including updating relevant electronic rule sets, assessing and implementing system updates, and researching product opportunities presented by outside vendors and service providers.
  • Communicate relevant updates regarding litigation docketing processes, procedures, and use of electronic docketing database to Managing Clerk team and firm personnel as appropriate.

Auditing & Coordination Responsibilities

  • Audit docketing processes and outcomes. For assigned jurisdiction, research court rules, civil procedures, and case histories as needed for court document findings. This includes working directly with courtroom law clerks, judges, attorneys, paralegals, and practice assistants to ensure rules and deadlines are being adhered to.
  • Review and ensure all practice papers, pleadings, and docketing are recorded appropriately in CompuLaw.
  • Coordinate questions and electronic filings of pleadings. Serve as a back resource when needed.
  • Assist with applications to court/bar memberships and coordinate payment of dues and membership fees.
  • Perform other duties as assigned.

Job Requirements:

  • 7-10 years of experience as Managing Clerk or Litigation Paralegal with docketing responsibility. Prior supervisory experience strongly preferred.
  • Bachelor's Degree required. JD degree beneficial.
  • Excellent communication, both verbal and written.
  • Demonstrated leadership and interpersonal skills.
  • Comprehensive knowledge of state and federal civil procedure and court processes.
  • Advanced knowledge of automated docketing system software (CompuLaw, CPLR, and FRCP).
  • Ability to lead a national team of experienced docketing staff to provide consistent quality services regardless of location.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows: Boston, MA: $98,185 to $140,300; Chicago, IL: $94,100 to $134,400; Los Angeles, CA: $98,185 to $140,300; New York City, NY: $102,200 to $146,100; Rochester, NY: $81,800 to $116,900; San Francisco, CA: $102,200 to $146,100; Washington, DC: $98,185 to $140,300.

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
