The office manager role at Meyers+Associates is a critical role to maintain successful operations. As a front office leader, the office manager holds a wide range of responsibilities including client services, support to company leadership with assistance to financial and project management.

Client services responsibilities:
  • Presence at the front reception desk to greet and welcome all visitors.
  • Manage and be attentive to all incoming phone calls and distributing appropriately.
  • Provide hospitality to client guests assisting with beverages, technology, parking, etc.
  • Manage stocking and packaging of all branded products for client and visitor gifts.
  • Provide attentive service to main conference room and waiting area including monitoring client beverages.
Vendor management responsibilities:
  • Lead interaction as primary contact with all supportive vendors including mail, delivery services, trash, and housekeeping.
  • Monitor all supportive vendors performance and quality levels.
  • Address all office and building maintenance repair items.
  • Monitor and maintain all purchase items related to copiers, printers, plotters, 3D printing and general office supplies.
  • Monitor and maintain all purchase items for company sponsored food and beverage items.
  • Hold responsibility for all food and beverage orders and also maintenance of related equipment.
  • Collect all monthly bills related to all company vendors and assist Director of Finance in organizing the information.
Company leadership support responsibilities:
  • Manage company status report production and distribution.
  • Provide hospitality, food and beverage options for Principals meeting and Leadership team meeting.
  • Have awareness of company leadership schedules to assist with scheduling awareness.
  • Monitor and communicate all staff schedule adjustments including sick days, PTO and extended vacations.
  • Provide support and production back up to The Director of Marketing as requested.
Director of Finance – Human Resources support responsibilities:
  • Hold responsibility for collection of all employee time sheets and expense reports by required deadlines.
  • Support Director of Finance for filing of all documents and paperwork.
  • Support Director of Finance in preparing all reports and items to be reviewed company ownership.
  • Gather and provide to Director of Finance all fixed monthly expenses and confirm that all are processed.
  • Hold responsibility for managing the scheduling of all employee performance reviews and related documents.
  • Lead all new employee onboarding preparation including gathering documents, first week scheduling and set up.
  • Manage all employee expense reports and back up for reimbursement and billing documentation.
  • Assist Finance and ownership in gathering billing information monthly from vendors, consultants and project managers.
General responsibilities:
  • Receive all mail and packages and distribute accordingly.
  • Date stamp all received mail.
  • Assist all staff with items associated with project related travel.
  • Monitor all staff required continuing education requirements for credentials and provide reminders to staff to address deficiencies. Provide opportunity awareness for company driven events that provide CEU hours.
  • Monitor all architectural staff registration requirements and expirations and provide reminders to all staff.
  • Hold leadership and oversight of company sponsored evets such as Birthday event, Holiday parties, social gatherings.
  • Assist all staff in the production of presentation materials for binding, shipping and general support.
  • Assist with general errands and supportive efforts for the company.
  • Oversee all office maintenance needs and housekeeping services.
  • Develop a travel management process to schedule, book and monitor all employee travel.
