Summary
A well-known structural steel company in the area is looking for an Accounting Assistant. Under the direction of the Controller, the Accounting Assistant performs general accounting duties in accordance with prescribed procedures and accounting practices.
Qualifications
•Must be proficient in QuickBooks and Microsoft Excel
•Knowledge of accounting functions with emphasis in general ledger, accounts receivable, accounts payable, budgeting, financial reporting, payroll, journal entries, and account reconciliations
•Knowledge of Internal Revenue Service regulations as they pertain to construction organizations
•Ability to maintain a high level of confidentiality
•Excellent job costing skills, good reasoning abilities, and sound judgment
•Attention to detail and mental concentration are necessary for accurately performing tasks and handling frequent interruptions
•Ability to compare and evaluate possible courses of conduct and act or make decisions after various possibilities have been considered
•Ability to make effective and sound decisions having significant financial impact on the company
•Ability to work independently and operate under pressure in a fast-paced environment with tight deadlines
Responsibilities
•Responsible for maintaining a complete and systematic set of company financial records; processing accounts receivable and accounts payable; establishing accounting processes, maintaining financial records; completing bank reconciliations; and performing accounting and analytical work to maintain proper accounting records and procedures in accordance with Generally Accepted Accounting Principles (GAAP)
•Performs intermediate accounting functions under the direction of CFO andor CPA including:
•accumulating and recording the costs of materials, labor, and overhead for projects for analyzing job costing
•prepare monthly, quarterly, and annual financial reports for senior management
•researching and analyzing financial data and creating spreadsheets to summarize findings as required
•Manages all accounts receivables including:
•reviewing invoicing/billing paperwork for services
•entering all billing information into Sage
•preparing invoices and mailing to customers
•preparing accounts receivables reports including collections of past dues
•preparing documents/reports when requested from CFO and/or CPA
•maintaining vendor information
•sorting and coding incoming bills
•reviewing invoices for proper authorization
•entering payments into Sage
•processing checks and credit card payments
•mailing and filing check copies and paid invoices
•resolving invoice issues with vendors by phone
•providing tax exemption forms as needed
•Prepare weekly payroll for up to 200 employees including: verifying time sheets/time records for non-exempt employees
•entering payroll additions, deletions and changes on the payroll system
•coordinating input of payroll data with payroll vendor in order to ensure accurate and timely completion of payroll processing
•discussing work hour deviations regarding paid time off and unpaid time issues with appropriate supervisors and managers
•verifying accuracy of payroll checks and preparing for distribution to employees
•maintaining payroll file for time records and payroll runs
•Files all quarterly reports to include 941, 940, TX Unemployment, and Sales Tax and annually creates and distributes forms W-2, W-3, 1099, 1096, and other required IRS and State reports
•Performs AIA billing for determining and managing the regular flow of cash based on progress of projects
•Perform general ledger data entry to include cash disbursements and miscellaneous cash receipts and reconciles bank and credit card statements to include monthly closing under the direction of CFO
