Position Summary:


The job involves dealing with and solving complaints/problems and managing incidental requests regarding, for example, the preparation of rooms and meeting rooms, resources, etc. The Facilities Coordinator works directly with the customer to provide setup and support for regular meetings, distance-learning conferencing, VIP town halls, and large event functions. The Facilities Coordinator also monitors the execution of (preliminary) facility tasks in accordance with established service level agreements. The Facilities Coordinator is the initial contact point for the customer and helpdesk employee. The department's Tasks are performed per applicable HSE (Health Safety and Environment) procedures.


Essential Duties and Responsibilities:

  • Sets up, operates, supports, troubleshoots, and, if necessary, escalates problems with multiple
  • audio/video systems and computer-related equipment to the proper department.
  • Establishes videoconference, webcast, and LiveMeeting connections for end-users (premeeting).
  • Coordinates the scheduling and execution of PMs for all mechanical systems (i.e., HVAC,
  • Electrical, Plumbing, Carpentry) and low voltage components to ensure all managed LCD
  • projectors, monitors, control systems, power supplies, and related equipment for conference
  • rooms are functional and available.
  • Maintains service schedules to include testing to prevent failure; retains detailed records of all
  • A/V maintenance using the Fian EDirect system.
  • Liaising with the customer and helpdesk employee with regard to the nature of
  • additional/modified requests.
  • Responsibility for solving problems and carrying out requests related to, for example, the
  • availability of (auxiliary) equipment, operation of lamps sunscreens, order and cleanliness of
  • spaces, replenishment of printing paper and reporting any malfunctions etc.
  • Provide communication with customers via text, email, signage, posters, or face-to-face contact.


The Facilities Coordinator will submit any facilities-related issues through the Finance Direct work order database. You will also be the primary focal point for all Finance Direct ticket submissions and reporting. Youwill act as primary contact for office emergencies (before/afterhours); duties include active participation in/during all site emergencies, including drills and actual emergencies, ensuring all occupants are familiar with evacuation procedures and muster points for the client buildings/floors, communicating with the local site representatives and management during drills and actual emergencies. Work closely with local site representatives and management to understand their needs and demands and provide direction or support to the site victors and customers.

Perform checks of the rooms/meeting rooms and the level of cleanliness of the office environment by establishing service agreements. Identification of opportunities for service improvement and development within the office environment.
Survey buildings/floors for head counts to identify any trends in the occupancy census for the campus every week. Coffee Bars & Vending Machines: Responsible for reporting any 'stock outs' to the Coffee/Vending Manager. The Facilities Coordinator will also maintain established par levels for coffee merchandise boxes. Responsible for the cleanliness and inventory of facility and coffee corners (removing dust, scuffs, and spills) and moving or rearranging office furniture and small office boxes. Managing the setup and breakdown of tables and chairs in meeting rooms. Handling of the receipt packages and deliveries to the building, including tracking of incoming and outgoing volumes. May provide support with small projects as directed by supervisor as needed. Will manage other duties as assigned


Job Qualifications:

  • Work-Related Skills: two (2) or three (3) years of customer service experience in an office/professional
  • environment. Good communication skills - written and verbal. Ability to read and comprehend
  • Policies and Procedures. Command of English strongly preferred. Must be proficient in Microsoft
  • Office Suite and internet savvy.
  • Education: A Bachelor's Degree is strongly preferred
