General Position Summary
This position is responsible for coordinating and managing new installations and migrations, managing resolution of system and network issues for employees, and facilitating the development and implementation of improvements to the company’s information technology system. It involves studying and implementing IT policies and procedures to improve the effectiveness and efficiency of workflow and reporting procedures, as well as interpreting and applying laws, rules, and regulations applicable to the organization. The role also assists office management and support in both US and European branches.


1. IT SUPPORT

Maintains the computer networks, cell & office phone systems, and security systems in the company, providing technical support and ensuring the whole company runs smoothly. Monitors and maintains the company computer systems, installs and configures hardware and software, and solves technical problems.

  1. Installing and configuring computer hardware, software, systems, networks, printers, scanners, phones, and security systems for company employees.
  2. Responding and providing necessary support in a timely manner to service issues and requests.
  3. Testing and evaluating new technology and applications, including commercial execution.
  4. Having meetings with the IT department in Japan periodically regarding IT and security updates.
  5. Creating IT instructions/manuals for employees.
  6. Data backup maintenance.
  7. Maintaining security cameras and confirming the data.
  8. Keeping records of office equipment for accounting purposes (Photo, Asset #, Purchase history, etc.).
  9. Keeping logs for all PCs, phones, and employee accounts.
  10. Monitoring and approving Outlook use in cell phones.
  11. Maintaining Firewall and Server room equipment.
  12. Disposing of old assets cleanly and safely, erasing all HDD/SDD data securely.
  13. Supporting Sage 50 software updates and maintenance.

2. ADMINISTRATION, HR AND ACCOUNTING SUPPORT

  1. Studying and implementing management policies and procedures to improve the effectiveness and efficiency of workflow and reporting procedures.
  2. Supporting Administrative and HR for IT-related procedures.
  3. Assisting Administrative and HR for new employees regarding IT-related procedures.
  4. Evaluating internal controls and providing management with recommendations for policy, procedure, and practice improvement to meet audit standards.
  5. Preparing and evaluating documents to meet compliance with regulations for the internal control audit system.
  6. Creating risk assessments and developing strategies and procedures for carrying out internal and SOX audits.
  7. Answering phones and receiving and sending mail & packages.
