Director of Association Management

Pay: Full-Time; Salary / Exempt

Reports to: Chief Operating Officer


Essential Functions include:

The Director of Association Management (HOA) is an executive-level leader serving on the company's Leadership Team and is responsible for the profitability, risk management, and overall operations of the HOA Department. The Director supervises a team of HOA Portfolio Managers, who manage homeowner associations throughout Oregon and Washington consisting of single-family homes, townhomes, and condominiums. The Director helps develop and guide policy implementation and oversee the financial performance of the department, along with managing a small portfolio of communities. The Director fosters strong relationships between HOA Managers, Assistant Managers, and other team members, and their respective boards, ensuring that community-specific needs are met while upholding consistent performance standards. This position is also critical in dispute resolution, regulatory compliance, and improving long-term client relationships. The Director of Association Management is responsible for adherence to all company policies and procedures, including safety.

  • Responsible for meeting and maintaining desired financial benchmarks for the department as defined by the Chief Operating Officer and President's goals.
  • Provides leadership that mentors and develops team members.
  • Conducts coaching and counseling conversations as needed to correct behaviors.
  • Organizes and facilitates team members' ongoing education and development.
  • Leads weekly team meetings (L-10's) to conduct training, and review and solve issues.
  • Develops, implements, and monitors policies and procedures to ensure they are followed by all.
  • Ensures departmental EOS operations are followed, and reporting requirements to include Scorecard Measurables and KPI's are current and accurate.
  • Ensures that all client, customer, or vendor complaints and inquiries are handled in a timely and professional manner by staff and assists when needed.
  • Negotiates client contract increases and terms under the direction of the COO and President.
  • Participates in new business meetings and prepares new business proposals as needed.
  • Attends Board meetings as needed.
  • Ensures all state, local, and federal laws and company policies and procedures are followed by all.
  • Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, creativity, problem-solving, and results.

The Director of Association Management position will evolve, and additional duties and responsibilities may be revised/added as business needs dictate.

Salary and Benefits:

$100k - 125k base salary; determined by experience

Performance bonus eligible based on KPI's of the department

Mileage compensation is based on IRS rates for 2024.

Experience:

A proven track record with supervisory experience leading, coaching, and mentoring a team, and meeting financial performance and KPIs is required.

5+ years of direct supervisory or leadership experience, or equivalent experience preferred.

5+ years of Property Management in Homeowner Associations is preferred.

PCAM designation preferred. CMCA required (may be obtained in position and must be completed when first class is available)

Bachelor's Degree of equivalent experience preferred.
