This position handles all agency incoming calls; and interface with the general community. The Front Desk Medical Receptionist will initiate referrals, create client profiles in the EHR system, and maintain the appointment schedule of agency physicians and clinical staff; particularly regarding initial and follow-up appointments.
Essential Functions Include:
  • Communication
  • Greet clients, visitors, and vendors, and provide direction in a friendly and professional manner.
  • Collect and update patient information, as needed including medical history and insurance
  • Answer phones, screen, and route all incoming calls as appropriate
  • Scan incoming documents into EHR system and route to the proper person
  • Retrieve incoming faxes and distribute to the designated person
  • Collect all incoming mail for distribution
  • Stamp all outgoing mail
  • Fax and upload documents within our EHR software
  • Organization and time management to manage a variety of tasks effectively
  • Attention to detail to schedule patients correctly and communicate scheduling
  • Facilitate internal referrals and verify insurance
  • Technological skills, update Excel spreadsheet to track data, additional task in word
  • Interpersonal skills to interact positively with patients who may be upset or stressed
  • Schedule initial and follow-up appointments with prospective consumers.
  • Contact consumers to ensure they attend scheduled appointments.
  • Clearly and effectively communicate pertinent consumer information to responsible parties.
  • Contact pharmacies as needed
  • Contact hospital and request consumer medical information as needed
  • Inform the clinician/assessor at once of any crisis situations.
Documentation
  • Establish an initial chart/profile re: program enrollment, authorization, and consent.
  • Upload consumer medical information; blood work, prior authorization, medication consents, etc.
  • Input appropriate intake data into the EHR System.
  • Medical Records retrieval and submission to requestor
Skill & Qualifications
  • Strong verbal and written communication skills
  • Medical Experience a must
  • Interpersonal skills to create a pleasant experience by being personable and attentive
  • Familiarity with medical terminology and procedures is a plus
  • Organization skills to keep accurate records and find important information quickly
  • Time management skills to prioritize and complete a wide variety of tasks
  • The ability to develop a clinical knowledge base and learn core solutions
  • Patience and listening skills to respond appropriately and interact positively with consumers
  • Knowledge of electronic health records and scheduling software is a must.
  • Technical Skills: Proficient with Microsoft Word, Excel and Outlook.
  • Excellent organizational, problem-solving, and interpersonal skills.
  • Ability to prioritize and meet multiple deadlines.
  • Bilingual a plus (Spanish)
Education
  • Minimum requirement is a high school diploma, an Associate degree preferred.
Physical Capabilities & Work Environment
  • Ability to walk up and down stairs.
  • Ability to operate a calculator and computer.
  • Current valid driver’s license.
