job purpose : The Office and Facilities Manager will foster and encourage a professional, safe, and fun work environment that is employee-centric and delightful while applying a high degree of professionalism, initiative, and independence in supporting the Office for all necessary facilities and office management responsibilities.


responsibilities:


  1. Responsible for resolving escalated problems and issues related to office/facilities that are beyond the scope of the Office Assistant.
  2. Lead local safety committee, hold safety drills, and develop safety guidelines with the safety team.
  3. Oversee all office security such as visitor sign-ins, badges, and all other initiatives.
  4. Maintain policy compliance relating to office (ex: dogs, conference rooms, gym, etc.).
  5. Manage overall relationships with third-party vendors and building management/landlord (including but not limited to utilities, HVAC, internet and data communications, janitorial, parking).
  6. Responsible for Office & Facilities budget: Applies initiative, proactive planning, situational awareness and attention to detail to ensure the Company optimizes budgets focused on facilities and office management.
  7. Manage collective office seating regarding capacity and assist Office Assistant with new employee onboarding, including preparing workstation, scheduling tech setup, etc.
  8. Partner with Executive Assistants to plan office and/or Company events, including set-up and clean-up support.
  9. Own relationships with local community representatives, including Alderman, and other local West Loop organizations.
  10. Serve as point-person for local community events, partnering with Corporate Social Responsibility Manager, as needed.
  11. Manage the Office Assistant and serve as back up to the Office Assistant, as needed.
  12. Own and manage the team storage spaces in the office and off-site.
  13. Develop and enforce office organization guidelines.
  14. Oversee transition to a new office location in the West Loop.
  15. Responsible for the overall safety and security of employees and building.
  16. All other duties, as assigned.

skills/qualifications required:


  1. 5+ years of office or facilities management experience required.
  2. Bachelor's Degree or equivalent preferred.
  3. Proven ability to lead, collaborate, analyze, and make important judgment calls.
  4. Strong attention to detail and the ability to manage multiple responsibilities and priorities while adhering to deadlines.
  5. Strong written and verbal communication skills.
  6. Strong understanding of AV and IT.
  7. Previous experience managing direct reports.
  8. Ability to handle ambiguity and work in a fast-paced, entrepreneurial environment.

  1. 8 hours sitting/standing/walking.
  2. Ability to lift up to 50 lbs.
